USSW Administrative Assistant 

Title of Position: Administrative Assistant

Hours per week: 40

Compensation: $30 per hour

Worker classification: Full-time (40 hours), regular, non-exempt, hourly, at-will employee. You may not work overtime without written permission from your manager and SVA’s finance department.

Supervisor: Valerie Eguavoen

This is an on-site position with a requirement of in-office attendance five days a week.

Role and Responsibilities

  • Serve as the first point of contact for USSW members and visitors, ensuring the office is a welcoming, organized space.
  • Greet and assist guests; manage incoming calls, mail, and deliveries.
  • Monitor the organization’s general email inbox and direct inquiries to the appropriate staff.
  • Provide day-to-day administrative and scheduling support to senior staff, including coordinating meetings, travel, and logistics.
  • Support in drafting external correspondence such as invitations, letters, and organizational updates.
  • Assist with planning and logistics for meetings, trainings, and events — including catering, RSVPs, space setup, and materials preparation.
  • Maintain office supplies, inventory, and equipment; ensure shared spaces remain clean, functional, and well-stocked.
  • Liaise with building management and vendors to address office maintenance and service needs.
  • Help onboard new staff and interns by preparing workspaces and sharing relevant information.
  • Support internal communications and staff coordination (e.g., reminders, announcements, scheduling).
  • Provide logistical support at organizational events as needed.
  • Assist with other administrative and organizational tasks as assigned.
